Launch the HVAC Snapshot in 24 Hours

Step-by-step guide to going live with the HVAC Snapshot for GHL in 24 hours: onboarding, install, brand pass, dispatch setup, A2P 10DLC, and go-live test.

The HVAC Snapshot for GHL is built to be live in 24 hours — not 24 days. Most field-service rollouts drown shops in implementation calls, kickoff decks, and a 90-day Gantt chart. We do the opposite. Buy it tonight, fill out the form before bed, and your AI receptionist is answering calls by tomorrow evening. Here’s exactly how that 24 hours looks.

1. Purchase the snapshot

Check out at $997 (was $1,697). You’ll get a receipt and a welcome email with the onboarding form link within minutes. That email also contains your support address (support@hvacsnapshotforghl.com) and your kickoff slot calendar if you want a 20-minute screenshare during the build.

2. Complete the onboarding form

This is the only homework on you. It takes about 25 minutes and asks for:

  • Business name, DBA, EIN, physical address
  • Service area ZIPs and dispatch hours
  • Tech roster with certifications (NATE-cert, EPA 608, master license #)
  • Equipment lines you sell (Carrier, Trane, Daikin, Goodman, Mitsubishi mini-splits, etc.)
  • Brand assets: logo (SVG preferred), primary color, accent color
  • Voice & tone notes for the AI receptionist (friendly Midwestern, no-nonsense Texan, calm West-Coast — your call)
  • Current phone number and whether you want to port it or forward it

3. We install into your GHL

You give us access to your GHL sub-account (or we provision one for you). Our team imports the snapshot, wires the AI receptionist, missed-call text-back, smart pipeline, and review engine, and connects your Google Business Profile, Facebook page, and Meta ads account if you have one. This takes us 60-90 minutes.

4. Brand pass: logo, colors, voice

We swap out every default — logos in transactional emails, the booking widget header, SMS senders, the funnel pages for coupon promos and seasonal tune-ups. The AI receptionist’s voice script gets rewritten so it actually sounds like your shop, including how you handle a “no-heat” call at 11pm in January versus a routine tune-up inquiry in March.

5. Configure dispatch calendars & techs

Your dispatch board gets configured for:

  • Service categories: AC tune-up, no-heat diagnostic, no-cool diagnostic, install consult, IAQ assessment, ductwork inspection, mini-split install, heat-pump install, walk-in cooler service, RTU service, geothermal loop service
  • Tech capacity: how many jobs per tech per day, drive-time buffer, service-area boundaries
  • Membership priority: Comfort Club members jump the queue
  • Equipment skill tags: which techs can run R-454B, which are EPA 608 Universal, which run commercial RTUs and AHUs

6. Submit A2P 10DLC paperwork

If you’re going to text customers — and you are, because that’s how missed-call text-back and review requests work — you have to be 10DLC-registered. We file the brand registration and the campaign use case (HVAC service notifications + marketing) the same day. Carrier approval typically lands within 1-3 business days; while it’s pending, low-volume sending still works. We also configure STOP/HELP keywords, quiet hours, and the audit log right out of the gate. (See our separate guide on TCPA + 10DLC SMS compliance for HVAC contractors for the full breakdown.)

7. Go-live test + first booking

Before we flip the switch:

  • Call your business line — does the AI receptionist pick up after hours and qualify the caller correctly?
  • Hang up on a ringing line — does the missed-call text-back fire within 60 seconds?
  • Fill out the instant quote form — does the lead land in the pipeline, get an SMS confirmation, and create a task for the CSR?
  • Book a fake tune-up — does the dispatch calendar show it, does the customer get a confirmation email, and does the day-before reminder go out?

Once all four pass, we flip traffic. Most shops have a real booking within the first 24 hours of go-live.

What happens after the 24 hours

Day 2-7 we layer in the marketing engine: email automations, seasonal tune-up campaigns, Facebook ads funnel, maintenance plan renewals, and the rebate & tax-credit helper for IRA 25C and HEEHRA. By day 14 your past-customer list is being touched for the first time in probably ever.
